How to Write a Cover Letter: The Guide for 2021
Why does a cover letter have to be? Isn't the resume enough?
A well-written cover letter gives you the opportunity to advertise yourself in a narrative format and explain to the employer why you are the ideal candidate. That's why you should definitely write one.
You will make your interest clear to the potential employer and show that you want this position so badly that you take the time to write an individual cover letter.
Long letters run the risk of brief glimpses, but there is no recruiter who doesn't take the time to write half a page of text - especially if there is a promising résumé to accompany it.
A cover letter is your opportunity to explain who you are, what you can do, and how you solve problems. You can describe yourself in more detail, show your personality and your professionalism. After all, a cover letter should advertise you and your strengths and convince the employer that you are of use to the company.

Chapter 1: How do you write a cover letter that matches the job description?
A good cover letter should be short. But if you apply for many different positions, it becomes exhausting to write a suitable cover letter for each application. This often tempts you to write a generic cover letter and just change the company name.
If you do that, however, your resume and cover letter will most likely be ignored by either the ATS (Applicant Tracking System), i.e. software for reading applications, or the recruiter - because they are not relevant. On average, there are 250 applications for each vacancy, of which only four to six are invited for an interview. 98% of CVs and cover letters are rejected because they are irrelevant.
Never use the same cover letter for different applications. Instead of sending generic résumés and cover letters to hundreds of companies, focus on the ones that appeal to you the most and invest a little more time.
Find five good companies. Tailor your resume to each one, then adjust your cover letter to make the resume a little more specific. You can do that for five more companies the next day. There is no point in sending out random applications all at once. After all, your goal is to get a job that you really like.
Prepare yourself with questions
Before you start your cover letter, you should get to know the company you are interested in better. Take a close look at the position you want to apply for. Read through the company's website and, if available, the news about it. You have to accept the company, the values and the culture before you apply. Then it is also much easier to write a convincing application.
Questions you should ask yourself when researching your favorite companies:
- What can you say about the job
- What are you particularly good at and what advantages can you bring to the company?
- How does your personal goal fit the position or the company?
- What is it about the company that attracts you?
Do not write your cover letter until you have found answers to these questions for yourself.
A cover letter is used to briefly explain two essential points: Your strengths and how they can benefit the company.
Follow these two simple rules and base your cover letter on the information from your résumé. Be as specific as possible and work out how your stated successes and skills from the résumé meet the requirements of the company.
6 basic rules for writing a meaningful cover letter
Writing a cover letter is not that difficult if you follow a few simple rules:
Keep it as short as possible and get to the point quickly. Don't write more than one page or four paragraphs.
Your cover letter should only cover two things: your strengths and how they can benefit the company.
Write your cover letter specifically for the most important statements on your résumé. A resume and cover letter have the greatest impact when they complement each other.
For each vacancy, write an individual résumé with a matching cover letter to ensure that you are as close as possible to the type of candidate the company is looking for.
Your cover letter should only contain the company's contact details, your personal contact details, a greeting, an introduction, the body, a call-to-action and the greeting.
Use a few numbers because they are often more meaningful than words in the job market. Use statistics to illustrate your skills just like you did on your résumé. The numbers show that you understand what a company is looking for in an employee and you can deliver those results.

Chapter 2: What Should I Put in the Letterhead?
Use the same letterhead as you would on a business letter. This includes: your full name, your address, the contact details of the HR manager and your contact details. This is important because your cover letter and resume may get separated in the big pile on the hiring manager's desk.
Address your letter to an individual. Include the name of the recruiter with "Mr." or "Ms." and avoid the generic "Dear Sir or Madam". Nothing could be more impersonal. Be as specific as possible in your speech! Use the company's website or LinkedIn or Xing profile to find out the name of the department head or HR manager for the vacancy.
Chapter 3: What to Include in the Introduction?
The first paragraph should just be your introduction. Please tell us briefly who you are and let the employer know how you found out about the vacancy. Mention how your career goals align with company goals.

Chapter 4: What Should I Put in the Main Part?
The second paragraph is about the advantages that you bring with you. Why should they choose you? How can you help the company?
Make it clear to the recruiter why they should be interested in you. Mark some valuable items on your résumé that fit the job description. Use some statistics to illustrate your efforts and achievements in previous positions.
Why are YOU suitable for the job? What is the company's requirements based on your previous professional experience and your skills?
Use the information you have gathered in your research. Emphasize how you can help the company achieve their goals.
Describe your career goal in relation to the position you are applying for. Include the skills and experience that the job posting asks for.
Examples of the main part of a suitable cover letter
In the past four years I have worked on various design projects that have created websites, out-of-home campaigns, print advertising, brand logos and book illustrations. Thanks to Adobe Creative Suite and a great team, we were able to implement a total of 70 websites for brands such as Zeiss, Lufthansa and Vice Magazine. My extensive knowledge ranges from the first idea to the brand strategy and I would like to apply that to you and your customers like Dove and Milka. In addition, I would be happy to support you with both pitches and day-to-day business.
I am a business analyst with extensive professional experience. In the past few years, for example, I have used modern digital tools to make workflows 20% more efficient. I can do SWOT analyzes as well as create case, data and business process modeling and continuously exceed monthly goals. I have a sense of when it is time to ask questions or listen. I am analytical and creative with the necessary sensitivity in sales discussions, which I would like to use at XYZ to improve the sales rate from day one.
During my studies, I took part in a joint web-based marketing project for the global company "Hellet Inc.", in which we carried out four complex web analyzes, created digital campaigns for AdWords and Facebook and developed strategies that the company then implemented. We used a similar advertising model to that of the New Mood and Frenzy campaigns. Chapter 5: What Does a Call-to-Action Look Like?
The cover letter should end appropriately with the last paragraph and indicate an action by the employer. Remind the hiring manager of what you described in the first and second paragraphs (how your experience or skills will help the company).
That is the point of a cover letter: a call to action. Let the recruiter know that you'd like to come for the interview too. But be careful: if the last paragraph becomes too long, it weakens your call to action.

Chapter 5: How to End a Cover Letter
"With best regards", "Best regards", "I'm looking forward to ..." - All of these closing words are good, but nothing is better than a simple "Thank you very much".
It is the most tactful ending to all types of letters and emails because it expresses genuine gratitude. It's kind and sincere. "Thank you" is the perfect way to end every letter.
Another example: "Thank you for your time".
In summary: Convince yourself that you are the perfect candidate.
The cover letter is your opportunity to tell the story behind the key points on your resume and to convince your future employer that you are exactly what he / she is looking for.
Your cover letter should be no longer than four paragraphs and contain the following:
- Your short personal introduction.
- The key points on your résumé (the ones that match the job description) with a description of why your previous experience and skills allow you to meet the company's requirements. It should complement, not repeat, the content of the résumé.
- A call-to-action - a polite way of indicating that you would like to be invited to an interview.
A targeted résumé and a suitable cover letter are all you need to get invited for an interview. Send it and once you get a call, prepare for interview questions.
